1. Who we are

TailoredAI operates LeadGen Pro. Questions, access requests and privacy concerns can be sent to aisolutions@aisolutionsnet.net.

2. Our role and your organisation’s role

TailoredAI is generally responsible for account, security, website, support and service-administration data. A customer organisation is normally responsible for deciding which lead and enquiry data to collect, why it is collected and how it is used. For that customer lead data, TailoredAI normally acts as a service provider or processor on the customer’s instructions.

3. Data we may process

• Account details, including name, email address, profile and sign-in information.
• Organisation, membership, role, plan and entitlement information.
• Lead and enquiry records entered by users or received from approved forms.
• Notes, status changes, assignments and activity history.
• Support messages, feedback and service communications.
• Technical, security and diagnostic information such as timestamps, session identifiers, audit events and error context.
• Integration information needed to deliver approved email, Slack, Sheets or webhook workflows.

4. Why we use personal data

We use information to provide and secure the service, authenticate users, enforce organisation access, process authorised lead workflows, deliver support, communicate essential service information, prevent abuse, investigate faults and improve the controlled pilot. We may also process information to comply with legal obligations or protect legitimate rights.

5. Legal grounds where applicable

Depending on the context and applicable law, processing may be necessary to perform a contract, take requested pre-contract steps, comply with law, pursue legitimate interests in operating and securing the service, or act on valid consent. Customer organisations must identify an appropriate basis for their own lead collection and marketing communications.

6. Service providers and integrations

LeadGen Pro uses infrastructure and service providers such as Supabase for authentication and database services, Vercel for hosting, and approved email or integration providers. Information is shared only as needed to operate the service or fulfil an authorised customer configuration. We do not sell personal data.

7. International processing

Service providers may process information in countries different from the user or customer organisation. TailoredAI and its providers use contractual and technical safeguards appropriate to the service and applicable law.

8. Retention

We retain personal data only for as long as reasonably needed for the service, security, audit, support and legal purposes. Customer lead records should be reviewed and deleted or anonymised when no longer needed. Limited backup or audit information may remain for a controlled period after deletion.

9. Security

Controls include authenticated sessions, organisation membership, entitlement checks, Row Level Security, server-only privileged credentials, access logging and validated server routes. No online service can guarantee absolute security. Users must protect their credentials and report suspected misuse promptly.

10. Individual rights

Depending on applicable law, individuals may have rights to request access, correction, deletion, restriction, objection, portability or withdrawal of consent. Requests relating to a customer organisation’s lead record should usually be directed to that organisation first. TailoredAI will assist appropriately where it acts as a processor.

11. Sensitive information and children

LeadGen Pro is not designed for children or for routine collection of special-category, highly sensitive, financial-account, health or government-identity data. Do not submit such information unless TailoredAI has approved a specific lawful and secured use case in writing.

12. Changes

We may update this notice as the pilot, law or service providers change. Material changes will be communicated through the service or an appropriate customer contact.
